Taking representative samples for your oil analysis

You should take a fluid e.g. oil sample:

  • during operation or shortly after shutdown,
  • at a normal operating temperature (max. 80 °C),
  • always at the same point, using the same method,
  • where possible, never from the filter, but just in front of the filter,
  • not shortly after an oil change or the topping up of large quantities of oil,
  • only in a clean and dry sample bottle – ideally directly into the "original" from the all-inclusive analysis kit.

OELCHECK sampling pump

The easiest way to take oil samples is to use the OELCHECK sampling pump. This is optimised for use with our sample bottles and can be used as often as you like. All you have to do is change the tube. Using the pump and the tube supplied, shortened to the optimum length, you can draw highly viscous oil directly into the screwed-on OELCHECK sample bottle.

The set for the OELCHECK sampling pump contains the following utensils:

  • OELCHECK sampling pump, with which a vacuum is generated. This allows an oil sample to be sucked directly from the application area into the OELCHECK sample bottle.
  • A transparent and flexible sampling tube, length 3 m (6x4x1). The oil sample is sucked into the sample bottle using the pump.
  • A tube cutter that can be used to shorten the tube to the desired length.
  • Tissues to clean the sampling point or to remove impurities.
  • A biro to fill out the sample receipt form on site.

→ You can use the sampling pump several times and simply reorder the sample collection tube (consumable product) if required.


 

The oil sampling kit contains the following utensils:

  • A disposable plastic syringe that creates a vacuum in the plastic tube. Use this syringe and the supplied tube to draw the oil directly into the OELCHECK sample bottle.
  • A transparent and flexible sampling tube, length 1 m (6x4x1). The oil sample is sucked into the plastic syringe and then poured into the sample bottle. If necessary, repeat the process until the sample bottle is completely filled.

How do you label the sample container?

Remove the self-adhesive lab number from the sample information form and stick this onto the sample container. This will allow the sample container to be clearly assigned to the sample information form.

How do you complete the Sample Information Form?

Ensure the information you provide is as complete as possible. The more information there is regarding the machine and the oil used when the assessment is made, the more accurate the diagnosis. The sample information form enclosed with the all-inclusive analysis kit should contain all of the key information we need to assess a sample. If you have submitted your data online, you do not need to complete the sample information form. Simply tick "Sample data has been entered online". Add the sample designation and the UPS tracking # (where applicable) to the sample document. Then, once you have detached your sample document, place the Sample Information Form in the outer window pocket.

Note on sample designation

Your oil sample should always be clearly and identifiably labelled. As such, the machine (e.g. machine name, inventory no., serial no., vehicle registration number) and the part and/or component (e.g. hydraulics system, gear, engine) must be stated. If you send additional samples from the same source, you should always use the same sample designation (machine and component).This is the only way to ensure that the sample data is correctly assigned in our database and that the condition of the oil and machine can be investigated as a trend and interpreted accordingly. With our OELCHECK-App, assigning the sample is even easier, as the machine in question is automatically recognised each time.

How should the sample be sent?

We recommend using the delivery pouch enclosed with every all-in-one analysis kit to send the sample. This is made of oil-tight, recyclable plastic and may be used for up to four samples. The self-adhesive seal makes the delivery pouch leakproof. To avoid the sample information form being stained with oil, this is placed in a transparent outer window pocket.
