Return service for your samples outside the EU - safe and easy

Want to return samples to our laboratory conveniently and safely?
For customers outside the EU, we offer a chargeable return service via UPS.

To ensure that the shipment runs smoothly and does not get delayed at Customs, there are some requirements which need to be met.

This page has all the important information about the returns process as well as the necessary documents for download.

How it works

Take a sample from the machine/unit into the OELCHECK sample bottle (see also Taking fluid samples).
Label the container with the barcode sticker (from the Sample Information Form).
Place the sample bottle in the leakproof OELCHECK envelope and seal it.
Fill in the Sample Information Form or, even better, enter it directly online in LAB.REPORT.
Place the completed Sample Information Form in the outer pocket of the OELCHECK envelope.
Attach the UPS return label provided to the UPS Express Pak, shipping envelope or shipping carton.
Insert the MSDS into the document envelope (see 'Sample MSDS' for various examples).
Complete the Proforma Invoices (PI) in full and place 3 copies in the same document pouch.
Attach the document pouch to the UPS Express Pak or shipping box.
Arrange a UPS PickupThe easiest way to arrange a pickup with UPS is online via the UPS website.You can find the relevant country-specific UPS pickup request links here – simply click on your country.Alternatively, you may also schedule a pickup by calling the UPS hotline (phone number provided on the return form).Please make sure to provide the tracking number to avoid pickup charges.

After collection, OELCHECK will normally receive your sample(s) within 3 - 5 days.You will receive your laboratory report within the next working day of sample receipt.

Sample Material Safety Data Sheets (MSDS)

We have put together some sample Safety Data Sheets for you.
Use your own MSDS for the return shipment.

Please include 3 copies (stamped and signed) of the customs invoice in the document pouch of the shipment!

A UPS return label is valid for a single return – either a single sample or multiple samples in one package.

Please order the collection using the telephone number given on the UPS return label.
The sample(s) will only be collected free of charge if the # tracking number is given when the collection order is placed.

The sender is responsible for all customs clearance costs and import fees.
Please ensure that the proforma invoice includes the note "Incoterm: DDP (delivered duty paid) Brannenburg".

Note if you are using your own sample containers

You still have open laboratory numbers in your LAB.REPORT account,
but no OELCHECK sample bottle at hand?

No problem! You can also send in your sample in your own bottle.

Please follow these instructions:

Use a suitable sample container
Use a clean, tightly sealed bottle suitable for the liquid.
Select a lab number
Log into your LAB.REPORT account or the OELCHECK-App and select a 'free' lab number.
Enter sample information
Enter all relevant information for your sample in LAB.REPORT account or the OELCHECK-App .
Labelling the sample container
Clearly label the sample container with the selected lab number - either with an oil-resistant marker (e.g. Edding) or an adhesive sticker.
Send the sample by UPS with all necessary customs documentation.
